The information we collect
We only collect what we need to quote for, arrange and carry out your work, and to look after you as a customer:
- Quote details — the answers you give in our new-boiler and service tools (property type, existing heating, preferences, photos you choose to upload).
- Contact & account details — your name, email, phone number, address and postcode, and the login details for your customer account.
- Booking & payment records — your chosen installation or service date and payment history. Card payments are processed securely by Stripe; we never see or store your full card number.
- Finance applications — where you apply to spread the cost, the information you provide is shared with our regulated lending partner to obtain a decision.
- Messages & support — the content of messages and enquiries you send us through the portal, by email or by phone.
- Technical & usage data — limited cookies and analytics that help the site work and improve (see our Cookie Policy).
How and why we use your data
We use your information to prepare accurate quotes, arrange and complete installations and services, take payment, manage your account, answer your questions, meet our legal and warranty obligations and — where you have not opted out — send helpful reminders and review requests about work we have done for you.
Our lawful bases
Data protection law requires us to have a valid reason ("lawful basis") for using your data. Ours are:
- Contract — to provide the quote, installation or service you have asked for.
- Legitimate interests — to run and improve our business, prevent fraud and keep you updated about your job, in a way you would reasonably expect.
- Consent — for optional marketing and non-essential cookies, which you can withdraw at any time.
- Legal obligation — to meet our tax, accounting, gas-safety and consumer-law duties.
Who we share it with
We share data only with the trusted partners who help us deliver our service, and only what they need:
- our payment processor (Stripe) and our regulated finance partner;
- email, SMS and analytics providers that run our communications and website;
- manufacturers and subcontractors where needed to complete or warranty your work;
- professional advisers, insurers and authorities where the law requires it.
We never sell your personal data, and we require everyone we work with to protect it to the same standard we do.
How long we keep it
We keep your data only as long as necessary for the purposes above and to meet our legal, accounting, insurance and warranty obligations — typically up to 6 years after your last transaction, and longer where a warranty or legal duty requires it. After that it is securely deleted or anonymised.
Keeping your data safe
We use appropriate technical and organisational measures — including encryption in transit, access controls and secure, reputable hosting — to protect your information against loss, misuse or unauthorised access.
Your rights
Under UK data protection law you have the right to:
- be informed about how we use your data (this policy);
- access a copy of the data we hold about you;
- have inaccurate data corrected, and incomplete data completed;
- ask us to erase your data in certain circumstances;
- restrict or object to our processing;
- data portability; and
- withdraw consent at any time, and opt out of marketing.
To exercise any of these, just email info@greatgasltd.co.uk — it's free, and we'll respond within one month.
Marketing & your choices
Any marketing email we send includes a one-click unsubscribe that we honour immediately, in line with the UK PECR "soft opt-in" for existing customers. You stay in full control.
Complaints
We'd always like the chance to put things right first — please contact us using the details above. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The "last updated" date at the top shows when it last changed; please check back occasionally.
